Service labels

A service label is a compliance consumable applied directly to equipment recording a test, a certification, or a next-due date.

5 products · substrates: outdoor vinyl, polyester, destructible vinyl

What it is

Adhesive stock applied directly to the equipment, conforming to whatever it is stuck to. No attachment point, nothing to snag, and nothing to lose - the trade is that removing it cleanly is difficult by design, and re-applying over an old one stacks history you cannot read.

When to choose it

Choose a label where a hanging tag would be a hazard or a nuisance - inside a panel, on a moving assembly, in a clean area, or anywhere a technician works with both hands. Choose a tag where the entry recurs and the space to write it does not exist on the equipment itself.

What decides the order

The adhesive, and the surface it is going onto, decide the outcome far more than the face stock does. Cold, oily, powder-coated and freshly cleaned surfaces all fail differently, and a label that lifts at one corner collects swarf under it and is gone inside a month.

Choosing between service labels

A label is the right artifact when the equipment has a flat surface, the record can be adhesive rather than hanging, and you want it to stay put rather than be swapped each visit. That covers ladders, machinery, panels and most fixed plant. The substrate decision is driven by what defeats adhesive in your environment rather than by what defeats print: abrasion on mobile equipment, thermal cycling outdoors, and grease or solvent in kitchens and workshops. Vinyl with an aggressive adhesive handles abrasion; polyester handles heat and chemicals. Surface preparation matters more than most people expect, and a cleaned surface will hold a label roughly twice as long as a dirty one.

What serialising service labels adds

Labels are applied once and expected to last, which makes them the artifact most likely to become quietly wrong. A label cannot tell you when it was applied or whether the thing it describes has changed since, and equipment gets modified. Binding the label to a record gives it a date and a history, so a label that no longer matches the equipment is discoverable rather than merely misleading. It also solves the identification problem on mobile equipment, where a fleet of visually identical labelled items is otherwise impossible to audit.

The record mechanics are the same for every artifact and are set out on how inspection records work.

What happens after you order

Proof first, then payment, then production. Standard vinyl moves through production faster than specialist substrates. They arrive with serials already printed, so applying a label and scanning it is the whole setup: the first scan records what the label went on and where. Because labels last the life of the equipment rather than a year, most customers place one large first order to cover the existing fleet and then much smaller ones covering new equipment as it arrives.

The full sequence, including what the proof shows and how approval works, is on how ordering works.

Questions about ordering service labels

Will it stick to my equipment?

That depends on the surface more than on the label. Fibreglass and painted steel take a label well; oxidised aluminium and textured plastic are harder. Clean and dry the surface before applying, which roughly doubles adhesion life. If you are unsure, the hundred unit minimum is a cheap way to test on your actual equipment before committing the whole fleet.

Can labels be removed later?

Standard adhesive is intended to stay. If you need clean removal at end of life, for calibration labels or IT assets, specify the removable adhesive instead. Using a permanent label where a removable one belongs creates a cleaning problem every cycle.

Do I need one label or several per item?

Usually one for the inspection record, but check whether the equipment also needs a withdrawal or Do Not Use tag for when it fails. Ordering only the inspection label is how a defective item ends up back in service, because nothing physically stops somebody using it.
