Inspection tags

An inspection tag is a compliance consumable affixed to equipment that records who serviced it, when, and under what licence.

8 products · substrates: 13pt card stock, Tyvek, UV cured plastic, aluminium

What it is

A hanging card, punched and wired or looped to the equipment rather than stuck to it. Because it hangs free it can carry writing on both faces and can be replaced without touching the equipment, which is why it is the default form wherever a technician writes on the record by hand month after month.

When to choose it

Choose a tag when the record is a running history rather than a single event. Twelve months of initials need a grid, a grid needs area, and area is the one thing an adhesive label on a curved extinguisher body does not have. Choose a label instead when the surface is flat, the entry is written once, and nothing should dangle.

What decides the order

The attachment point, not the card. A tag on a wire in a plant room will be caught by a sleeve eventually, and the failure is the hole tearing out rather than the stock giving way. That is why the punch reinforcement matters more than the substrate on anything that lives in a walkway.

Choosing between inspection tags

The first decision is not the substrate, it is whether you want a tag at all. A tag hangs from the equipment on a wire or a hook and is designed to be replaced at each service, which suits anything inspected on a repeating cycle where the previous entry stops mattering once the tag is renewed. If the artifact needs to stay attached for years, a collar or an engraved nameplate is the better answer. Once you are on tags, the substrate follows the environment rather than the budget: card stock takes a ballpoint signature better than plastic and costs roughly a third as much, and it is the right choice for anything indoors and dry. Anything outdoors, in a wash-down area, near cooking or in an unheated space wants the UV cured plastic, because a tag that has gone soft and illegible by month eight has failed at the only job it had.

What serialising inspection tags adds

A tag is the artifact where serialisation changes the most, because a tag is the artifact designed to be thrown away. Every annual replacement is a point where the history can reset to whatever the current card says, and on equipment with multi-year cycles underneath the annual one, that is how dates drift. Binding the serial to the equipment rather than to the card means the card can be replaced as often as the service demands while the history stays continuous. The tag stops being the record and becomes the index into it, which is also why the tag can be printed on cheap card without weakening the evidence.

The record mechanics are the same for every artifact and are set out on how inspection records work.

What happens after you order

You approve artwork before anything is charged. The proof is rendered from your actual imprint at actual size, so what you approve is what prints, not a mockup. After payment the job routes to production and you get a tracking number when it ships. Each tag arrives already carrying its serial and QR, so there is no activation step and nothing to set up: the first scan in the field binds that tag to the piece of equipment it went on. Reorders pull the same imprint forward, so the tags you buy in three years match the ones already hanging in the building.

The full sequence, including what the proof shows and how approval works, is on how ordering works.

Questions about ordering inspection tags

Card or plastic?

Card for anything indoors and dry, which is most extinguisher and equipment tags. Plastic for outdoors, wash-down areas, kitchens and unheated spaces. Card takes a signature better and costs about a third as much, so the plastic premium is worth paying exactly where exposure would make the tag illegible before the year is out, and nowhere else.

Can I see it before I pay?

Yes, and you should. The proof is rendered from your imprint at actual size, including the serial block and the QR, so you are approving the real artwork rather than an approximation. Nothing is charged until you approve it. If the company name is too long for the tag size you picked, that is visible at proof rather than on delivery.

What if I need fewer than 100?

One hundred is the floor, and it is already far below the two to three thousand that is standard in this trade. Below a hundred the setup cost dominates the order to the point where the per-unit price stops being honest. If you need fifty, buy a hundred: the second fifty cost very little and tags do not expire.
